Cancellation Policy

Child, Young Person, and Vulnerable Adult Protection Policy Truly Listening believes that every child, young person, and vulnerable adult has a right to feel safe and protected from any situation or practice that could cause them physical or psychological harm. Our Policy Applies To: Any coach working directly with children, young people, or vulnerable adults. Anyone we come into contact with in the course of our daily work. Coach Responsibilities: Provide a safe learning environment for children, young people, and vulnerable adults. Ensure the welfare and safety of all participants is paramount in all activities. Undertake regular and appropriate safeguarding training, updated regularly. Be aware of the referral process within their workplace, whether in a school or community setting. Share concerns and seek support from local social services or school safeguarding leads. Maintain an appropriate level of confidentiality and respect personal privacy. Regularly assess and review safety risks from premises, activities, and equipment. Be mindful that actions, even if well-intentioned, may be misinterpreted. Class Responsibility: Maintain a register of every participant, including a contact name and at least three emergency telephone numbers. Log all accidents with dates, times, and actions taken, and ensure parents sign this log (keep records for a minimum of 5 years). Encourage participants to respect and care for others. Take action to stop any inappropriate verbal or physical behavior. Ensure that parents or a named guardian pick up their child, young person, or vulnerable adult. If a participant is not picked up, contact one of the three emergency numbers. If there is no response, contact Social Services or the school’s Safeguarding Lead for advice. Our Promise: Recognize that child protection should not be treated in isolation and follow guidance from recognized Child Protection agencies. Ensure all coaches are appropriately vetted (police checked). Require new coaches to complete a Personal Profile Form. Request two professional references for each new coach. Note all previous experience of coaches in working with children. 24-Hour Cancellation Policy At Truly Listening, we understand that plans can change. If you need to cancel your registration for the Strengths and Gratitude course, please notify us at least 24 hours before the event start time. Cancellation Terms: Cancellations made 24 hours or more before the event will receive a full refund
